Get Started - Workflows for Employees

If you've been Invited to use PayHero, your administrator may have set workflows for you to complete in PayHero, in which case you'll see the Get Started screen when you log in.

Check out the sections below to learn how to manage your workflows via PayHero's Employee Portal or Mobile App, or find the answers to commonly asked questions:

PayHero Portal

You can access the portal on a tablet or computer at portal.payhero.co.nz. Learn more about accessing and using the portal here: Employee Portal, or get in touch with your payroll administrator if you have any questions about your access.

The Get Started tab will appear if your employer has set a workflow for you to complete.

Click Begin to get started with the steps that have been assigned to you. If you don't complete the steps in a single session, you can come back and complete the remaining steps later.

How you complete each step will depend on the type of step - click the buttons below to learn more about completing each type of step.

Download File

Download File steps will provide a link for you to click to download a file provided by your employer.

You may also be required to check a box confirming you are signing the document. This meets the e-signature standards as outlined in New Zealand's Contract and Commercial Law Act 2017.

If a red asterisk appears by the 'Download File' title this means your employer has made this step mandatory, so you must download the document (and sign the document, if applicable) in order to submit the workflow.

Form

Form steps will prompt you to fill out a range of different fields, which may be customised questions from your employer, or basic details like your bank account or IRD number. Form steps may contain a single field to complete, or many.

If a red asterisk appears by the 'Form' title this means your employer has made this step mandatory, so you must complete all provided fields in order to submit the workflow.

IR330

The IR330 step provides a link to download the IR330 Tax Code selection guide, which will help you confirm which Tax Code you should be on, and some basic fields for you to complete. The fields you need to complete may vary depending on your company's settings.

If a red asterisk appears by the 'IR330' title this means your employer has made this step mandatory, so you must download the file and complete all provided fields in order to submit the workflow.

KS2

The KS2 step provides a number of fields you need to fill out to confirm your KiwiSaver details. The fields you need to complete may vary depending on your company's settings.

If a red asterisk appears by the 'KS2' title this means your employer has made this step mandatory, so you must complete all provided fields in order to submit the workflow.

KS3

The KS3 step provides a link to download a copy of the KS3 KiwiSaver factsheet.

Link

Link steps provide a link that your employer wants you to follow - simply click the link and it will open in a new tab.

If a red asterisk appears by the 'Link' title this means your employer has made this step mandatory, so you must click the link in order to submit the workflow.

Task

The Task step generally provides details of a task your employer wants you to complete or a statement they want you to agree to. Follow the instructions provided, then tick the box to confirm you have completed the task or agree to the statement provided.

If a red asterisk appears by the 'Task' title this means your employer has made this step mandatory, so you must tick the box in order to submit the workflow.

Upload File

Upload file steps require you to upload a file per the instructions provided by your employer. Click the Select Document link to choose a file to upload.

If a red asterisk appears by the 'Upload File' title this means your employer has made this step mandatory, so you must upload a file at this step in order to submit the workflow.

Video

Video steps will prompt you to watch a video in an embedded media player. Make sure you have working sound, then simply click the play button to watch the video.

If a red asterisk appears by the 'Video' title this means your employer has made this step mandatory, so you must watch the video in order to submit the workflow.

Once you've completed all of the steps, you'll see the following confirmation page. Make sure you click Submit to submit your answers to your payroll administrator.

Alternatively, if any mandatory steps haven't been fully completed, you'll see the following screen prompting you to review and complete the missing information. Any incompleted steps will also be highlighted red at the top of the page.

You can click on the tabs that are highlighted red to return to those steps, or click the Back button to navigate to the previous step. Once all missing details have been completed, you can return to the final page to Submit your answers.

The FAQ below helps with some common troubleshooting, or you can reach out to your payroll administrator if you're stuck.

Why can't I access the Get Started tab?

The Get Started tab will only appear when you first log into PayHero, and only if a workflow has been set for you to complete that you haven't yet submitted. Once you submit a workflow, only your account administrator will be able to view the details.

If you believe you should have a workflow to complete, try logging out and back in again. Reach out to your account administrator if you still can't see the Get Started tab after logging out and back in.

Why are some steps showing as incomplete?

If some of your steps are showing as incomplete, it means your administrator has marked the step as required. You'll need to ensure all details in the step have been completed, then return to the end of the workflow to submit it for approval.
